you should have received an email by the 22nd of December.

Participation Confirmation
If you decide not to participate, please inform us no later than 13th of February, so that we may offer your slot to other authors on the waiting list.
If you successfully completed the registration, you can download the booking confirmation (which includes the ticket) from the personal area of the SSEA submission portal, in the “Documents” section.
Mandatory Registration for Presenters
Please note, that if you do not register in time, you will not be able to present.
Registration – Limited Availability
We kindly ask you to register as soon as possible, as the number of available places is limited to 450. Registration is handled on a first-come, first-served basis.
Note: Due to the high number of abstracts received, we have increased the number of available tickets to 450. However, the Gala Reception taking place on Thursday has a limited number of spots, and therefore will not be available for every participant. Tickets for the Reception will be assigned on a first-come, first-served basis with registration. This is not done automatically in the platform, and we will inform you via email if you are assigned a ticket.
To secure both your participation and a Gala Reception ticket, we strongly recommend registering promptly.
If you have been selected for Oral presentation
- A full paper submission is required for inclusion in the scientific program and for publication. Only submitted papers will be scheduled for presentation.
- Here you can download the template for the paper in word format. Please make sure that your paper at the end looks like the pdf template.
- Your Oral presentation is planned to last 8 minutes, plus time for questions.
- Paper deadline 28th February. Papers will be reviewed by the Scientific Committee. If necessary, we will provide you with feedback in the middle of March, and you will need to resubmit the final version by 31st March. Failing to provide the paper on time, will result in presentation cancellation.
- To upload the manuscript, you need to log in to the SSEA submission portal, and in the “Actions” button of your submission, you will be able to submit your manuscript.
- You will have to deliver the slides on the 31st March.
If you have been selected for Poster
- A paper submission is optional, but highly encouraged, as it provides the opportunity to fully explain the ideas of your research, improves credibility and serves as a learning opportunity for any future publications.
- The same conditions apply as for papers for Oral presentation and submitted papers will be included in the proceedings of the symposium.
- The posters will be displayed for the entire duration of the symposium. There will be every day a one hour time slot for the posters. You will be assigned a specific day when you should present your poster during that time slot. Beyond that you will have on the same day a 1-minute flash talk to encourage the audience to visit your poster.
- To upload the poster, you need to log in to the SSEA submission portal, and in the “Actions” button of your submission, you will be able to submit your poster as a “presentation”.
- There is no template for the poster. The only requirement is the Size A0 and vertical format. You will need to upload the poster by the 31st March and bring it printed to the conference. If you have been selected for Back-up
At this moment, all oral presentation slots have been assigned, but it could be, that some people are not able to join, and we will get some free spots. For that reason we have planned:
- At this stage your contribution has been selected as “Poster”
- Should we have any cancellations, we will inform by the 14th of February, that you can have a presentation slot.
No Paper, no podium. No podium no paper
- If you do not present, your paper cannot be published.
- If you do not provide your paper + presentation or poster on time, you will not present.
Current Session Plan
This is a temporary plan. We will upload a detailed plan in February.

Accommodation: We strongly encourage you to book your accommodation in Munich as early as possible, as the city is very popular and hotels fill up quickly.
Visa: Should you require a visa to attend the symposium and a letter of invitation, please register and send us an email at participants@ssea.space as soon as possible, so we can provide you with the required letter.
Scholarship: If you have a selected abstract, you might be eligible for a scholarship. Check our Scholarship page for more information.
Space Day: If you would like to stay an extra day, on Saturday (at the same venue), we will be celebrating human spaceflight at the TUM, with our “Space Day”. Entrance is free; no registration is required. Further information here: https://yurisnight.de/space-day-munchen-2026/
